Forms can be a very useful way of capturing and filtering information from your site visitors.  A well-planned form helps you respond faster to customer enquiries and analyse the data captured over time.

Using Forms for Greater Efficiency

Do you spend a lot of time answering the same old emails, fowarding & chasing them up?  A well-designed form can save time and increase efficiency

Depending on the nature of your business, enquiries that might turn into a business quotation can be captured by the form and later exported to a csv file.

By allowing your visitors to select from dropdown menus or check boxes, rather than write out their enquiry in a text box, you also make life easier for them.

Using Form Filters to answer visitor questions faster

Filters can be used to show the next stage in a form based on the previous response.  For example: asking the visitor to tick a box to state whether or not they are an existing customer.  They might then be asked the nature of their enquiry or whether they have an invoice number.  Alternatively their response could be used to generate a pop up message with relevant information or guide them to the relevant answer on your site.

By making the information they need more readily available, you make the visitor feel heard and understood.

Save Time by routing your forms to the right person

Based on the information a visitor has entered in a form, the form can be sent to one or more recipients.  Sales enquiries to one email and customer support enquiries to another for example.  When a visitor sends you a message via your web site form, you can export the messages as a CSV file which makes it easy to import into any customer relations management programme.

By sending enquiries to the person best placed to answer them, your visitor is more likely to receive a quick response.

Tailored Form Responses - a more personal approach

The information from the form can be used to create a more personal response to your visitors. Form fields in an email thanking for their interest can be used together with text.  In the example below, the fields in curly brackets, such as {name} are included in the response template.

Dear {name},

Thank you for your enquiry regarding {dropdown1choice} and {dropdown2choice}.

A member of our {checkboxchoice} team will contact you by {contactprefmethod} within the next working day.

 

This is an example of what the email might look like when sent to the recipient.

Dear Mrs Smith,

Thank you for your enquiry regarding curtains and upholstery.

A member of our Soft Furnishings team will contact you by phone within the next working day.

 

Although the email generated is an automatic response, by using the language your customer has used, you start to create rapport with them immediately.
